DEFINITION

To perform a variety of specialized clerical duties in support of the Sheriff’s Office including processing and maintenance of documents; filing; and providing assistance to department personnel.

SUPERVISION RECEIVED AND EXERCISED

Receives general supervision from the Administrative Assistant

Exercises no supervision.

 

EXAMPLES OF IMPORTANT RESPONSIBILITIES AND DUTIES – Important responsibilities and duties may include but are not limited to the following.

Essential Duties and Responsibilities

  1. Perform clerical duties required for proper recording and maintenance of activities and transactions related to the functions of the Somervell County Sheriff’s Office.
  2. Input traffic citation information into computer; maintain files on these reports.
  3. Process and distribution of documentation in jail shucks on all new arrests. Make copies as necessary.
  4. Collection of bond fee monies from jail staff for processing by Administrative Assistant.
  5. Prepare various internal reports; prepare statistical reports for external entities.
  6. Process, sort, copy, file and distribute various reports and correspondence; enter data into computer system as required
  7. Maintain a variety of written and computerized logs, files and filing systems correlating various office systems.
  8. Compile data from records or other information as requested
  9. Obtain purchase orders for approved purchases
  10. Internal mail distributions. Copying and filing of correspondence as necessary.

Other Important Duties and Responsibilities

  1. Operate a computer terminal and printer; type, enter, modify and retrieve a wide variety of reports and records, memos, letters, and other materials.
  2. Provide assistance to department personnel and the public including the retrieval of information and files. Respond to telephone inquires and requests; mail approved reports to outside agencies; provide general information regarding department policies, procedures and regulations.
  3. Perform other duties as assigned.

QUALIFICATIONS

Knowledge of:

  1. Principles of record keeping and filing
  2. Statistical concepts and procedures.
  3. Modern office procedures, methods and computer equipment.
  4. Basic organization and functions of a law enforcement agency.
  5. English usage, spelling, grammar and punctuation

 

Ability to:

  • Collect and document statistical date.
  • Perform a full range of specialized public safety clerical work under minimal supervision
  • Correctly interpret and apply the codes, policies and procedures related to processing of law enforcement documents.
  • Prepare clear and concise reports
  • Work independently in the absence of supervision
  • Maintain accurate records and files
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.

Experience and Training GuidelinesAny combination of experience and training that would likely provide the required knowledge and abilities to qualify.  A typical way to obtain the knowledge and abilities would be:

Experience:

Two years of experience in performing general clerical and statistical analysis. Some experience in criminal justice is desirable.

Training:

Equivalent to completion of 12th grade supplemented by specialized training in basic statistics and data entry.

WORKING CONDITIONS

 

Environmental  Conditions:

 

Office environment; working alone; exposure to computer screens; extensive contact with general public; jail office environment.

 

Physical Conditions:

 

Essential and other important responsibilities and duties may require maintaining physical condition necessary for standing or sitting for prolonged periods of time; lifting and carrying light to moderate materials.

THIS POSITION WILL TERMINATE ON NOVEMBER 30TH.

POSITION SUMMARY:

Performs brush cutting, mowing, weed-eating, trash pick up, and general landscape duties.

 

ESSENTIAL FUNCTIONS:

  • Cut brush utilizing a chain saw, pole saw, pruner and/or hand saw to rid parks and county right-of-ways of brush for public safety and to maintain beauty of county properties.
  • Mow and weed eat utilizing tractors, brush-hogs, zero-turn mowers, riding lawn mowers and/or push mowers and weed-eaters in parks and county right-of-ways to manage growth for public safety and assist in fire prevention and spread.
  • Pick up trash in parks and county right-of-ways for public safety and beautification.
  • Attend work consistently and punctually.
  • Work appropriately with others.
  • Work well with supervision receiving instructions/feedback, coaching/counseling and/or action/discipline.
  • Adhere to all policies and procedures of Somervell County.

 

ADDITIONAL POSITION RESPONSIBILITIES:

  • Other duties as assigned.

 

MINIMUM QUALIFICATIONS:

  • Possess and maintain a valid Texas Driver’s License.
  • Reading and comprehension skills sufficient to understand and interpret policies and procedures.
  • Ability to understand and comprehend verbal directions and communicate orally with supervisor and co-workers.

 

PREFERRED EXPERIENCE:

  • Knowledge of tractors and mowers.
  • Knowledge of lawn care maintenance to include proper use of weed eaters, pole saws, and chain saws.
  • Knowledge of lawn care.

 

PHYSICAL DEMANDS:

Minimal – Sitting, pushing/pulling, kneeling/squatting, and climbing.

Moderate – Standing, bending/stooping, wrist flexion/extension, reaching, overhead reaching, driving; and use of manual/power hand tools and fork lift/heavy machinery.

Extensive – Walking, grasping/squeezing, and use of mower, weed eater, edger, blower, chain saw and pole saw.

Moving – 26 to 50 lbs.

 

 

ENVIRONMENTAL FACTORS:

Minimal Exposure – Extreme cold and working at heights.

Moderate Exposure – Noise, vibration, and dust/gas/fumes/steam/chemicals.

Extensive Exposure – Extreme heat, unsheltered work outdoors, uneven ground, moving machinery, and requirement for use of protective equipment.

  • Sort, copy, distribute, fax and file paperwork.
  • Work appropriately with others.
  • Work well with supervision receiving instructions/feedback, coaching/counseling and/or action/discipline.
