The Tourism Group Sales, Media and Events Coordinator is responsible for assisting in the recruiting and planning for
Group Sales (i.e. Group Tours, Conferences, Regional Meetings, Film Crews, and Sports). The Coordinator will also be
planning and executing marketing strategies and in Social media, radio, news outlets and any other possibilities to bring
visitors to Glen Rose, Somervell County. This also includes website, emails, apps, Facebook, lnstagram and twitter as part
of the media update strategy. The Coordinator will assist in the development and execution of Events hosted by the
City/County as well as providing outside events to assure that they have what they need to make their event successful.
The promotion of Glen Rose/Somervell County is through various types of marketing shows, therefore the Coordinator
will be speaking to many people about Glen Rose/Somervell County. The Coordinator will also be the supervisor over the
Tourism Specialist and The Part Time position.
SUMMARY OF ESSE IAL IOB FUNCTIONS:
Principle Duties and Responsibilities include but are not limited to
. Stay in continuous contact with existing and new businesses pertaining to Tourism via telephone, email
correspondence and face to face meetings.
o Have regular communications with hotels and STR’S to obtain, secure and assist with new bookings and
statistics.
o Assist in the development and maintenance of localand area tour itinerary concepts and guest programs
for groups.
o Coordinate group services materials to make sure clients’ needs are met.
. Complete necessary correspondence and other communications in the sales and follow up process.
. Maintain a well-informed working knowledge of all facilities, attractions, and services in the Glen
Rose/Somervell County area available for custome/s needs and act as a liaison between group and facility
when needed.
. Coordinate with staff and volunteers to make sure that groups are effectively served with appropriate
materials including but not limited to badges, banners, welcome packets and calendar information.
. Maintain a current database and files of conventions, groups and events including contact information,
history and future information.
. Coordinate and assist in the execution of all Tourism Events put on by the Tourism department.
. Work with various committees to facilitate the events. This includes but not limited to:
L. Connecting Organizations with potential sponsors.
2. Facilitating contacts for entertainment.
3. set up and tear down of event if necessary.
4. Coordinating marketing materials.
5. Assisting clients with contacting venues to secure contracts.
6. Assists in communication with vendors.
. Participate in Tourism Department functions, receptions, events and trade shows as needed.
. Assist staff in community information findings to update the calendar of events.
. External Relationships – Maintains positive communications and foste/s unity and partnerships with
members of the hospitality industry, businesses, attractions, local organizations, area community
members and leaders.
. lnternal Relationships – Maintains regular, positive communication with all staff and leadership.
. Other duties as assigned by Tourism Director.
. Maintain a positive, team friendly attitude.
Provide support for the special events and festivals to include planning, administrative support, and coordination of select
projects, special events, fundraising initiatives, volunteer management activities and any other responsibiiities deemed
appropriate.
Hours for this position are non-traditional in nature and will vary regularly in accordance with event needs including early
mornings, late nights and weekends.
. Tourism Coordinator position is a full time position. This position may require some travel.
. college degree preferred but not required;
o Sales, marketing and/or event experience preferred;
. Excellent customer relations skills, friendly, courteous personality;
. Great written and oral communication;
. Excellentorganizationalskills;
. Demonstrates knowledge oftechnology and computer systems;
. Excellent grasp of social media marketing, communications and analytics;
. Public Speaking Skills – Public Relations;
. Valid Texas Class “C” Drive/s License
PHYSICAL DEMANDS:
This work requires the regular exertion of up to 10 pounds of force, frequent exertion of up to 25 pounds of force and

Must be available and willing to work evenings and weekends. Must possess physical mobility involvin8 bending, lifting,
reading and hearing.
